Emails are sending from the wrong address
Recipients see your main address, the wrong alias or the wrong name? Check the campaign sender, your default sender, the alias in Gmail and the From name.
Distro sends each email as the sender chosen for that campaign or single email, through the Google account that sender belongs to. If recipients see a different address or name, the cause is almost always one of the checks below.
Symptoms
- Recipients see your main Google address instead of an alias.
- The address is right but the name is wrong.
- Replies you sent from Distro's Inbox came from a different address than the campaign.
- Recipients see a "via" or "on behalf of" note next to your address.
1. Check which sender the campaign uses
Open the campaign in Outreach โ Campaigns and look at the From field of the first email. For single emails, check the From dropdown in the draft.
- New campaigns and drafts start with your default sender selected. If that's not the one you want, pick another, or change the default on Sending accounts with Set as default in the sender's โฎ menu.
- Distro locks in the sender when a campaign launches. Changing your default sender afterwards doesn't change campaigns that are already running.
2. Check the alias still exists in Gmail
Distro re-reads your Google account's "Send mail as" list only when you connect, click Enable, Refresh addresses or Check again. If an alias was removed or changed in Gmail after that, Distro may still list it, and Gmail decides how to handle mail sent as an address it no longer allows; it may, for example, use your main address instead.
- In Gmail, open Settings โ See all settings โ Accounts and confirm the alias is under Send mail as and verified.
- In Distro, open the โฎ menu next to the Google account and click Refresh addresses.
- Use Send test email from the sender's โฎ menu. Distro sends a test from that address to itself, so you can see exactly what arrives.
3. Check the From name
The name recipients see comes from the Name on the sender in Distro. If that's empty, Distro uses the name saved for the address in Gmail. To change it, open the sender on the Sending accounts page, edit Name and click Done. See Change your From name and Reply-To address.
Some recipients see a name from their own address book or contacts instead. You can't control that from the sending side.
4. Replies sent from the Distro Inbox
When you reply to a prospect from Distro's Inbox, the reply goes out in the same thread from your connected Google account's main address. The Inbox reply box doesn't have a From picker today. If you need to answer as the alias, reply from Gmail.
5. "via" or "on behalf of" next to your address
Some mail apps add this when the message isn't authenticated for the domain in the From address, for example an alias on a different domain, or an outside address sent through another provider. Set up SPF and DKIM for that domain with the service that actually sends the mail. See What is DKIM, What is SPF and Send cold email from your custom-domain email.
Still wrong?
Send a test from Gmail itself with the same From address. If Gmail also sends it wrongly, the problem is in the Google settings for that address. If Gmail gets it right but Distro doesn't, contact Distro support with the campaign name and the address you expected.
