Add another sending address in Gmail ("Send mail as")
How Gmail's "Send mail as" setting works, when Gmail asks for verification or SMTP details, and how a new address becomes a sender in Distro.
Gmail's Send mail as setting is the list of addresses a Gmail or Google Workspace account is allowed to put in the From field. Distro reads that list and lets you send campaigns from any address on it that Gmail has verified. To send from a new address in Distro, add it to "Send mail as" in Gmail first.
How Distro uses "Send mail as"
Distro never creates or edits sending addresses in your Google account. It only reads the "Send mail as" list, with the read-only Gmail permission you granted when you connected. That keeps control in Gmail, where Google checks that you really own each address.
- Address added in Gmail "Send mail as"
- Verified by Gmail
- Read by Distro (Outreach โ Sending accounts)
- Available as a campaign From address
Distro reads the list when you connect a Google account, when you click Enable on a sender, and when you click Refresh addresses or Check again in Outreach โ Sending accounts. It does not re-check in the background, so after you change anything in Gmail, refresh in Distro.
Add an address in Gmail
- In Gmail, click the gear icon and choose See all settings.
- Open the Accounts tab (on personal Gmail it's Accounts and Import).
- Next to Send mail as, click Add another email address.
- Enter the name and the address. Gmail shows an option called Treat as an alias; Google's own help explains what it changes, and either choice works with Distro.
- Click Next and follow what Gmail asks for. What happens next depends on the address (see below).
- If Gmail sends a verification email or code to the new address, open that mailbox and confirm it.
Google changes this screen occasionally. If something looks different, follow Google's current help for "Send mail as".
What Gmail asks for depends on the address
| The address you add | What Gmail usually does |
|---|---|
| An alias of your own Google Workspace user (same organisation) | Adds it without SMTP details. It may appear in the list automatically after your admin creates the alias. |
| An address in another mailbox you control at Google | Sends a verification email to that address before it can be used. |
| An address hosted at another provider (Microsoft 365, Zoho, your web host) | Often asks for that provider's SMTP server details, then sends a verification email. |
| Any non-Gmail address added to a free @gmail.com account | Asks for the SMTP details of the server that hosts that address. |
If Gmail asks for SMTP settings, read Gmail is asking for SMTP settings before you fill anything in. Those details come from whoever hosts that address, and Distro never needs them.
Make the address a sender in Distro
- Open Outreach โ Sending accounts and click Add sender.
- Enter the From name and the new address, then click Save.
- Under Email services, click Enable next to Google account.
Distro checks your connected Google accounts for the address. If Gmail has verified it, the sender becomes Active and shows Alias of the account it belongs to. If Gmail lists it but hasn't verified it yet, the sender shows Waiting for Google: confirm the verification email Google sent, then click Check again.
If none of your connected accounts has the address, Distro asks you to sign in with Google. Pick the account where you added it. Distro adds only this address from that account; the account's other addresses stay off until you add them. If it still can't be found, Distro tells you which account it looked in, so you can add the address there or sign in with the right account.
After it's set up
- Pick it in a campaign or single email: see Use a verified alias in Distro.
- Replies go to the address recipients reply to. For an address hosted at another provider, that is usually the other provider's mailbox, which Distro can't read. See Send cold email from your custom-domain email.
- If you later delete the address in Gmail, click Refresh addresses in Distro so it stops offering it.
