Add or remove prospects in a campaign

How to add or remove recipients before an email campaign is sent, what you can do once it has launched, and how to stop emailing one person.

Before you send an Email campaign, you can change its recipients as often as you like. Once it has launched, its recipient list is fixed: you can't add people to it, but you can stop individual people from receiving anything else. Email + LinkedIn campaigns work differently: you can start new people at any time (see below).

Before launch: choosing recipients

A draft campaign doesn't store a frozen list of people. It stores your selection: the lists, tags and individual contacts you picked under Select recipients. When you click Send emails, Distro looks at who is in that selection at that moment and enrolls everyone who is eligible.

That means:

  • Adding someone to a selected list (in People or by importing) before you send includes them automatically.
  • Removing someone from a selected list before you send leaves them out.

Add people

  1. Open the draft campaign and click the button in the To row (Select recipients, or the current recipient count).
  2. Add people in any combination:
    • Contact lists: click more lists or tags to select them.
    • Import a CSV: the file becomes a new list and is selected for you.
    • Copy / paste: pasted addresses become a new list called "Pasted" plus the date.
    • Pick contacts: search by name or email and tick people.
  3. Click Use these recipients. The count updates to the number of eligible recipients.

Remove people

  • To drop a whole list or tag, open Select recipients and click it again to deselect it.
  • To drop someone you picked individually, untick them under Pick contacts.
  • To drop one person who is in a selected list, remove them from that list in People โ†’ Lists, or block their address (see below).

Who is skipped automatically

You don't have to clean these out yourself. Distro skips them whenever it counts or enrolls recipients:

The same person in several selected lists is enrolled once. If anyone is excluded, the launch summary tells you how many.

After launch: adding people

A launched campaign can't take new recipients, and its emails can't be edited. To reach more people with the same emails:

  1. On the campaign page, open โ‹ฎ โ†’ Duplicate as new draft (or use Duplicate in the Campaigns list).
  2. In the copy, select only the new people, for example a new list.
  3. Review and click Send emails.

If you regularly add people over time, consider an Email + LinkedIn campaign, even with email steps only. After launch you can select more recipients and click Start new recipients whenever you like; people already in it aren't started twice.

After launch: stopping one person

There is no button to remove a single recipient from a running campaign. These are the ways to make sure someone gets nothing more:

  • They reply. A reply normally stops their follow-ups automatically. See How stop-on-reply works.
  • Block their address. Go to People โ†’ Unsubscribed (open it) and click Block address. Distro checks this list before every single email, so they won't be sent anything else, in this or any other campaign for this product. Their status in the campaign shows as Blocked.
  • Stop everyone. If the whole campaign should stop, cancel it: see Pause, resume or end a campaign.

See where each person is

Open the campaign and look at Overview โ†’ Recipients. Each person has a status such as Queued, In sequence, Waiting, Replied, Finished, Unsubscribed, Bounced, Blocked or Excluded, plus how many of the emails they have received and when their next email is due.
